Lusida Privacy Policy

Lusida is operated by Bidtech Limited, a New Zealand company, trading as Lusida AI (“Lusida”, “we”, “us”). This policy explains what personal information we collect through our website, our products and our dealings with you, how we use it, and the rights you have. We handle personal information in accordance with the Privacy Act 2020 (New Zealand) and, for Australian customers, the Privacy Act 1988 (Australia).

Your organisation's tenant data

Lusida's products read licence, usage, cost and configuration data from your organisation's Microsoft environment. That data belongs to your organisation. We process it only to provide the service your organisation has subscribed to, we hold it in a database dedicated to your organisation in your own country, and we use it for no other purpose. How that data is accessed and protected is described in our Security document, available to customers on request, and governed by our agreement with your organisation, not by this policy.

This policy covers the personal information Lusida collects in its own right, described below.

What we collect

• Account information. When you create an account or start a trial, we collect your name, work email address, organisation name and role.
• Support and correspondence. When you contact us, we keep the correspondence and the contact details you provide.
• Website information. When you visit lusida.ai, we collect standard technical information such as your IP address, browser type and the pages you visit. We use cookies only to keep the site working and to understand how it is used.
• Sign-in information. When you sign in to the Lusida portal with your Microsoft Entra ID account, we receive your name and email address from your organisation's directory. We do not hold passwords.

How we use it

We use personal information to provide and administer the service, respond to you, send invoices and service notices, keep our products secure, and meet our legal obligations such as tax record-keeping. We send marketing communications only where you have opted in, and you can opt out at any time.

We do not sell personal information, and we do not use your organisation's tenant data to build or train products for anyone else.

Who we share it with

We share personal information only with the providers we need to run the business: Microsoft, which hosts our platform on Azure and processes Marketplace billing, and our professional advisers (accountants and lawyers) where required. Each is bound by confidentiality obligations. We will disclose information where the law requires it.

Where your information is held

Our platform runs on Microsoft Azure in New Zealand (New Zealand North region) for New Zealand customers and Australia (Australia East region) for Australian customers. Your organisation's tenant data does not leave your country. Some administrative information, such as email correspondence and billing records processed through the Microsoft commercial marketplace, may be processed on Microsoft infrastructure outside your country. Where that happens, it is protected by Microsoft's own security and privacy commitments.

How we protect it

Connections are encrypted in transit and data is encrypted at rest. Credentials and tokens are held in Azure Key Vault and accessed with managed identities. Access to personal information within Lusida is limited to those who need it to provide the service.

How long we keep it

We keep personal information only as long as we need it to provide the service and meet our legal obligations. When a trial ends without a subscription, your organisation has seven days to export its data, after which we delete it. When a subscription ends, we delete your organisation's database. Billing and tax records are retained for the period required by law.

Your rights

You may ask us to confirm what personal information we hold about you, to access it, and to correct it. Where the law provides, you may also ask us to delete it or to stop using it for a particular purpose. Contact us using the details below and we will respond promptly. We may need to verify your identity first.

Complaints

If you believe we have mishandled your personal information, contact us first and we will work to resolve it. You may also complain to the Office of the Privacy Commissioner (privacy.org.nz) in New Zealand or the Office of the Australian Information Commissioner (oaic.gov.au) in Australia.

Changes

We will update this policy as our products and the law change, and note the date of the latest version at the top of this page.
